The Chico Unified School District is well aware of the importance of fundraising to keep Athletics as a positive educational experience in the District. It is also a necessity to keep these events legal and protect the employees from accusations of impropriety. The following guidelines have been developed to give coaches and other employees options for running their events while still protecting the employee and the District from financial and legal consequences.

 

The following are REQUIRED elements for running a camp, clinic or out of season tournament as a fundraiser within CUSD:

 

1.    Facility request.

2.    Certificate of Insurance.

3.    Registration form and process in place.

4.    All monies must be receipted.

5.    Reasonable coaches' compensation (not to exceed $100/day without prior approval).

6.    It is recommended all participants verify a recent physical or have a parent waiver form.

7.    A wrap-up financial report.


 

Fundraiser Use Options

Fundraiser Use Options

There are three options on how you can structure your event to be authorized. Each has advantages and disadvantages as you will see below.

Option 1 - School Based

Advantages:
1.    Reduction in facility use costs.
2.    Priority in use of facility.
3.    May use the school/team name in advertising.
4.    May use school equipment, if attendees are CUSD students.
5.    Checks made payable to School and Sport.
 
 
Disadvantages:
1.    ALL money must be deposited in your ASB account with some limitations on spending.
2.    ALL attendees must be given a receipt and receipts must match deposit (get receipt book from Comptroller).
3.    Minimum payments to staff only with Consultant Agreement in place.
4.    Participants need to be, at least in part, CUSD students.
5.    Staff must be adults who have a coach's clearance through a California High School or older CUSD students helping younger athletes at a camp or clinic.

Option 2 - Sports Booster

Advantages:
1.    Reduction in facility use costs.
2.    Priority in use of facilities.
3.    May use school/team name in advertising.
4.    May use school equipment if attendees are CUSD students.
5.    Fewer limitations on spending money.
6.    Checks made payable to CHS or PVHS Sports Boosters and team sport on memo line.
 
 
Disadvantages:
1.    ALL money must be deposited in your Sports Boosters team account with some limitations on spending.
2.    Sports Boosters will take a small percentage as an administrative fee.
3.    ALL attendees must be given a receipt and receipts must match deposit (get receipt book from Comptroller).
4.    No coaches' compensation as Sports Boosters want to be involved in tax payments.
5.    Staff must be adults who have a coach's clearance through a California High School or older CUSD students helping younger athletes at a camp or clinic.

Option 3 - Outside Private

Advantages:
1.    ALL profits may be deposited in your choice of accounts (If depositing in your ASB account, a donation form would be needed).
2.    Coaches' compensation at your discretion and you must take care of tax obligations.
3.    Participants do not need to be CUSD students.
 
 
Disadvantages:
1.    NO reduction in facility use costs.
2.    NO priority for use of facilities (you may be bumped by a school activity).
3.    May not use school/team name in advertising.
4.    May not use school equipment without paying rental fees.
5.    ALL attendees must be given a receipt and receipts must match deposit (get your own receipt book).
